Create your account

  1. Go to coachstreamai.com/account.html and sign up with your email and a password.
  2. Subscribe — one plan, $50 a month, everything included — and pay with Paystack. Cancel anytime from Manage billing.
  3. Choose your page name (handle). Your public page becomes coachstreamai.com/w/your-name.
  4. Click Open Studio. You're already signed in — the same email and password work everywhere on CoachStream.

Brand your page

In your Studio, open Settings:

  • Brand name and logo — shown on your page, in the room and on every email. A PNG with a transparent background looks best.
  • Accent colour — used for buttons and highlights.
  • Host name, title and photo — shown in the webinar room.
  • Default help button — e.g. your WhatsApp link (https://wa.me/234…), shown in every room.

Click Save settings.

Add your video

CoachStream plays your video from YouTube or any direct video link — so it's fast for your viewers on any connection.

  1. In YouTube Studio, upload your recording and set visibility to Unlisted (only people with the link can find it — not Private).
  2. Under Show more, make sure Allow embedding is ticked.
  3. Copy the video link (e.g. https://youtu.be/abc123).
Prefer another host? Choose Video URL in the editor and paste a direct MP4 link from Bunny Stream, Cloudflare, Vimeo Pro or your own hosting.

Create a webinar

In the Studio click + New webinar:

  1. Details: title, short description and a cover image (16:9, e.g. 1280×720). The link name is filled in for you.
  2. Session type: Live (plays at set times) plays your recording like a live broadcast on your schedule; Replay (watch anytime) lets anyone with the link watch whenever they like, from the start, in your own branded player.
  3. Video: paste your YouTube link — the length is detected automatically.
  4. Schedule (Live only): every day, selected days, or one date, in your time zone. People who arrive late join at the right moment.
  5. Signup form: ask for WhatsApp, up to two questions of your own, and optionally a qualifying number with a minimum (for example “How much will you invest?” minimum 500, badge “VIP $500+”). People below the minimum are pointed to your open sessions.
  6. Timed offer: switch it on and type when it should appear — 45 means 45 minutes, 42:30 means 42 min 30 s. Add a headline, button text and your checkout link.
  7. Click Save webinar.

Share your link

  • One webinar: click Copy link on it in the Studio — coachstreamai.com/w/your-name/webinar-name

Put it in your bio, WhatsApp status, broadcasts and ads. Signups, attendance and offer clicks appear in your Studio as they happen.

Live vs Replay

  • Live — your recording plays at the set times. Everyone sees the same moment, nobody can skip ahead, and the room shows it as live. Viewers' mics are muted by the host — they talk in the chat.
  • Replay — post the link and people watch anytime. They get a clean player (play, pause, back 10 seconds, seek) with no YouTube logo or buttons, and it remembers where each viewer stopped. Your offer still appears at its minute.
  • You can switch a webinar between Live and Replay anytime in its editor. Replay signups get one “Your replay is ready” email with their link.

Telegram automation

  1. In Telegram, open @BotFather, send /newbot, choose a name and username, and copy the token it gives you (looks like 123456789:AA…).
  2. In the Studio open Telegram, paste the token and click Connect bot.
  3. Add your bot to your group or channel as an admin with permission to invite users. It appears under your groups within a few seconds.
  4. For auto-accept: in the group/channel, create an invite link with Request admin approval switched on, and share that link. Your bot approves each request and sends your welcome message.
  5. Turn on the AI assistant and write a few lines about you and your offer — the bot answers questions in private chat and points people to your upcoming sessions.
  6. Use Broadcast to send now or schedule (once, daily or weekly) to your channel, or to everyone who pressed START on your bot. {first_name} is replaced with each person's name.
Telegram only lets a bot message people who pressed START or asked to join through your link. People can send /stop to stop broadcasts.

Emails to your leads

CoachStream emails your leads for you, from your brand name. Replies go straight to your inbox.

  • Seat confirmation within a minute of signing up, with their join link and an “Add to Google Calendar” link.
  • 24-hour and 1-hour reminders, and “We're live” the moment the session starts.
  • Missed you for people who didn't show up, with the next session time (repeating webinars).
  • Offer follow-up for people who watched but didn't click your offer.

Open Studio → Emails to add your email under “Replies go to”, edit any message (use {{first_name}}, {{webinar}}, {{date}}, {{time}}, {{host}}), switch emails off, send yourself a test, and see what went out.

Every email has an unsubscribe link. If someone unsubscribes and later signs up for another session, they'll get reminders for it again.

Chat script (CSV)

For automated webinars you can upload the chat from your original live session, timed to the video. Make a spreadsheet with these columns and save it as CSV:

  • time — when it appears: 2:05 or 1:02:05.
  • type — host for your team (highlighted); blank for attendees.
  • Upload it in the webinar editor under Chat. Real viewers' questions arrive in your Studio's Questions tab.
Only use real messages from your sessions. Made-up comments and testimonials can break consumer-protection rules and damage trust.

Your leads

The Leads tab shows everyone who signed up, their answers, how long they watched and whether they clicked your offer. Tap a WhatsApp number to message them, or click Export CSV to download everything. Your leads are private to your account — no other coach can see them.

That's it. Create as many webinars as you like — each one gets its own link, signup form, emails and offer.

Troubleshooting

The video doesn't play

Make sure the YouTube video is Unlisted (not Private) and Allow embedding is on. For a video link, it must play an MP4 directly when opened in a browser.

The session ended too early or too late

Open the webinar and check Video length matches your video — click Detect to read it again.

I forgot my password

On the sign-in page, type your email and tap Forgot your password?.

My page says it's paused

Your subscription isn't active. Open your account and choose Subscribe or Manage billing. Your webinars and leads are kept and come back as soon as it's active.

My leads aren't getting emails

In Studio → Emails, check the switch at the top is on and look at Recent emails for each one's status. If an email shows as sent, ask the person to check Spam or Promotions.

My Telegram bot isn't approving requests

Check the bot is an admin of the group/channel with invite users permission, and that your invite link has Request admin approval on. In Studio → Telegram click Check connection.

Can I change my page name?

Yes, on your account page. Links you've already shared with the old name will stop working, so update them.
